How to set up your team and crews

Set roles, assign the day, and preview the same dated route and live shift status a selected crew member sees.

Steps

  1. Invite your team members — From your team settings, send an email invitation to each person you want to add. They accept the invite, set a password, and join your account — no shared logins, so every action is tied to the right person.
  2. Choose the right role for each person — Assign each member a role: Owner has full control, Admin can manage day-to-day operations, and Crew sees only what they need to work in the field. Role-based permissions keep sensitive billing and settings out of the wrong hands.
  3. Build and save the day before handoff — Schedule the work, assign each stop to the right crew, and review the route order. Keep the dispatcher’s manual sequence or optimize it when useful, then make any needed adjustments. The saved date and route become the field team’s source of truth.
  4. Give crews their real field dashboard — Crew members open a focused mobile dashboard for the selected day. It shows the stops assigned to their crew in the shared saved route order, navigation for addressable stops, visit details, job clock controls, photos, and completion actions without exposing owner billing or settings.
  5. Preview one employee before dispatch — On Crew Day, an owner can choose “View as” and select an active employee. The app switches to that employee’s actual crew-facing surface for the owner’s selected date, including only that employee’s crew assignments and route. Exit preview explicitly to return to the full owner schedule.
  6. Check the selected employee’s live status — The preview shows the selected employee’s real On Shift or Off shift state, shift start and elapsed time when active, and running job-clock status on assigned stops. Preview clock controls are disabled, so checking the field view does not start or end the employee’s shift.
  7. Keep preview errors inside the crew experience — If the selected employee is still loading, inactive, missing, or no longer accessible, TurfTechAdvisor keeps that selection authoritative and explains the state inside the crew surface. It never silently swaps in a generic owner card; exit preview when you want to choose someone else.
