How to track time and run payroll

Pay your crew right — track field hours, add bonuses and PTO, and generate paystubs with withholding.

Steps

  1. Have crews clock in and out — Crew members clock in and out per job or for the full day from the field. Multi-person crews each get their own time entry, so hours are captured accurately for everyone on the truck.
  2. Review the pay period — Open the payroll page for the period and see each employee's hours. Time-off requests you've approved automatically debit PTO and show up on the period, so the totals reflect reality.
  3. Add bonuses, commissions, and PTO — Use the adjustments tools to add a bonus, a commission tied to a paid invoice, piece-rate pay, or PTO for any employee. Overtime is trued up for you under federal rules so the regular rate is right.
  4. Set up withholding — Capture each employee's W-4 details and any deductions like 401(k) or HSA. The platform calculates federal income tax and FICA so the net pay you see is realistic, not just gross hours times a rate.
  5. Finalize and hand out paystubs — Finalize the run to lock an immutable snapshot of the numbers, then download a per-employee paystub PDF with year-to-date totals. Your records stay consistent even if rates change later.
