Frequently asked questions

What is TurfTechAdvisor?

TurfTechAdvisor is all-in-one lawn care and landscaping business software for treatment, mowing, and landscape companies. It combines customer management, scheduling, GPS route optimization, EPA/FIFRA application records, inventory, quotes, invoicing, payments, payroll calculations, reporting, QuickBooks Online sync, and mobile crew tools in one system.

What is included in the TurfTechAdvisor Free plan?

The TurfTechAdvisor Free plan supports up to 25 customers and includes one saved GPS-optimized route, the calendar, service visits, treatment programs, yearly plans, invoices, estimates, online card payments, card on file and autopay, EPA application records, the lawn measurement and mix calculators, spray conditions, soil temperature, product recommendations, the AI advisor, and two AI photo diagnoses per month. No credit card is required to start.

How much does TurfTechAdvisor cost?

TurfTechAdvisor has a Free plan at $0, Growth at $69 per month or $690 per year, and Pro at $149 per month or $1,490 per year. Business subscriptions are priced per company rather than per user, although additional Pro crew-clocking seats can be added when needed.

Is TurfTechAdvisor available on iPhone and does it work offline?

Yes. TurfTechAdvisor is available for iPhone and as an installable Progressive Web App. The iPhone app uses the same account and data as the web app, while offline-ready field access keeps the day's stops available and queues supported form submissions until service returns.

Can homeowners use TurfTechAdvisor for their own lawn?

Yes. Homeowners can create a lawn profile with grass type, size, and location, receive a seasonal lawn plan, use lawn calculators and weather tools, ask the AI advisor questions, and upload photos for AI-assisted lawn, tree, shrub, weed, pest, and disease guidance.

How do scheduling and GPS route planning work?

TurfTechAdvisor uses a drag-and-drop calendar for treatments, mowing, landscaping, projects, and exact-time tasks. Operators can load a yearly plan, select customers, split work across days, arrange stops manually or optimize them by road travel time, save recurring route order, assign crews, and send the finished route to Google Maps for navigation.

Can TurfTechAdvisor manage recurring mowing and landscaping schedules?

Yes. Growth and Pro operators can create weekly, biweekly, or custom recurring schedules with season dates, preferred weekdays, crew assignments, and visit prices. TurfTechAdvisor generates the season of visits, keeps mowing and landscaping alongside treatments on the same calendar, and preserves recurring schedule logic when weather forces a reschedule.

Does TurfTechAdvisor help with EPA and FIFRA pesticide records?

Yes. TurfTechAdvisor application records capture product and EPA registration number, rate and amount, treated area, property, date and time, applicator, target pest, method, GPS, and weather details. Label-rate checks, missing-field guidance, amendment history, pre-application notices, and inspector-ready PDF/CSV exports help operators maintain complete records; operators remain responsible for their state and label requirements.

Can TurfTechAdvisor measure lawns from satellite imagery?

Yes. The free lawn measurement tool lets anyone draw lawn areas on satellite imagery and calculate square footage without visiting the property. Signed-in operators can save measurements to customer properties; Growth also adds customer property maps and sun/heat exposure mapping.

How do crew clocking, mobile routes, and live dispatch work?

Invited crew members can see assigned stops, navigate routes, clock in and out of scheduled jobs, attach field photos, and mark work complete from a focused mobile view. Pro adds live dispatch and route-progress visibility. An employee payroll record and an invited team-member app login are separate limits; an invited app login is what lets a crew member sign in and clock scheduled jobs. Free has no crew job clocking or invited team-member app logins. Growth permits up to 3 invited team-member app logins for assigned routes and scheduled-job clocking, while its payroll roster can hold up to 15 employee records. Pro includes 8 invited team-member app logins for scheduled-job clocking and supports additional clocking users at $19/month each, with an unlimited payroll roster.

Does TurfTechAdvisor include invoicing, or is QuickBooks required?

TurfTechAdvisor includes its own invoices, estimates, Billing Tracker, online payments, card on file and autopay, flat monthly billing, statements, and past-due follow-up, so QuickBooks is optional. Operators who use QuickBooks Online can connect it to sync customers and items, push invoices and estimates, and reconcile paid status without re-entering the same work.

How does the Billing Tracker prevent missed invoices?

Completed billable visits flow into the Billing Tracker and remain visible until they are invoiced or marked billed. The tracker separates work that is ready, missing a price, already billed, or overdue, supports review-first invoice drafts, and can suggest flat monthly billing from a customer's visit and pricing history.

Can customers pay online or by card in the field?

Yes. Customers can pay an invoice online through a secure Stripe-powered payment page, and operators can collect an in-person card payment with a connected Square reader. Check and cash payments can also be recorded, and successful payments update the matching invoice and payment history.

What can customers do in the customer portal?

The Growth and Pro customer portal gives customers secure access to invoices, payment history, quotes, visit history, service notes, and shared photos. Customers can pay open invoices and review or accept quotes without installing a separate app.

Can accepted quotes schedule work automatically?

Yes. Operators can preview a quote as the customer, send a branded secure link, track when it is viewed, and record expiration or a lost reason. When a customer accepts eligible mowing, recurring service, program, or project work, TurfTechAdvisor can create the corresponding calendar work without re-keying the quote.

Can TurfTechAdvisor send customer announcements and text messages?

TurfTechAdvisor can send personalized bulk email announcements to all active customers, selected service mixes, or a hand-picked list, with a recipient preview, delivery tracking, and re-send-to-failed tools. Customer-tag audiences are not available yet. Operators can open prefilled texts to today's customers from their phone; automated bulk SMS is still coming soon.

What can the AI Business Assistant do?

The Pro AI Business Assistant can find account information and prepare actions such as draft estimates, draft invoices, rescheduled visits, customer-note updates, and reminders. It shows an action proposal first, and the operator must review and approve important financial, scheduling, or customer changes before TurfTechAdvisor applies them.

Can TurfTechAdvisor track chemicals, materials, and purchase needs?

Yes. TurfTechAdvisor tracks chemical and landscape-material inventory, container and unit costs, stock changes, and product usage. Yearly-plan supply calculations estimate product demand, while Pro Material Planning compares on-hand stock with upcoming and completed-job demand, flags low stock, recommends reorder quantities, and can start purchase orders.

Does TurfTechAdvisor report job costs and profitability?

Yes. TurfTechAdvisor reports revenue, outstanding balances, labor hours and cost, chemical and material cost, overhead, and margin across the business, service types, customers, and jobs. Pricing insights and history help operators compare quoted or scheduled prices with actual cost and margin.

Does TurfTechAdvisor run payroll?

TurfTechAdvisor is a payroll and paystub calculator, not a payroll-of-record service. It turns reviewed crew hours into pay calculations with federal withholding, FICA, PTO, bonuses, commissions, piece-rate pay, and FLSA overtime true-up, then produces downloadable paystubs. It does not file payroll taxes, create W-2s, or send direct deposits.
