How to set up a yearly treatment plan
Doing chemical rounds? Build a multi-round yearly plan and route customers by round number.
Steps
- Add the customer and their property — Start on the Customers page and add the customer with their contact details, then enter and verify the property address so it drops a map pin. Confirm the property has Lawn Treatment (or Tree & Shrub) flagged in its service mix — that's what makes the customer eligible for the matching plan rounds later.
- Open the Yearly Plan page and create a plan — Go to the Yearly Plan page. This is the chemical/treatment setup — do NOT use Recurring Visits for treatment rounds. Pick the year and the program type (Lawn, Tree & Shrub, or Landscaping), then click Create Plan to start a fresh multi-round program.
- Lay out the rounds for the season — Add each round of the program with Add Round and give it a timing (Early Spring, Late Spring, Summer, and so on). Sequence the rounds across the year so they line up with the seasons and your local pest and growth windows — this is the backbone of the whole plan.
- Add products to each round — Inside each round, use Add Product (or the Search products field) to add what you're applying. TurfTechAdvisor recommends products and calculates the cost per 1,000 sq ft and application rates for you, so you get research-based guidance instead of guessing at the bag rate.
- Load a round into the Route Planner — When a round is due, open the Route Planner and click Load Plan. Pick your plan, then choose the round you're running — the planner pulls in every eligible customer grouped under that Round number (e.g. "Round 1 — Early Spring"). This grouped-by-round view is the treatment equivalent of the mowing day tabs.
- Optimize and schedule the round — With the round loaded, Optimize the driving order on the map, then Schedule the stops onto the calendar for your crew. As each round is completed it feeds your application records and invoicing — closing the loop from plan to paid. Repeat Load Plan for the next round when it comes due.
