How to use Finance and the Billing Tracker

Find every billable visit in one place, review it, and move it through draft, sent, and paid.

Steps

  1. Open Finance → To Bill — Open Finance and choose the To Bill tab. Filter by customer, service, date, or billing group to find completed visits that have not yet been billed. To Bill is available across subscription tiers, while some advanced billing options remain plan-gated.
  2. Resolve missing prices first — A visit without a price cannot produce a useful invoice. Open the visit detail, set or edit the price per job, and return to To Bill. The tracker keeps unpriced work visible instead of hiding it from your billing count.
  3. Review and create invoices — Select the visits to bill and review the grouped customer summary. Combine eligible visits into one invoice or create separate invoices as needed. Monthly flat-rate customers can be billed from the monthly tracker, which creates a draft for the selected billing month.
  4. Use review mode before sending — Open the draft in Finance → Invoices and confirm the customer, service dates, line descriptions, terms, prices, attachments, and total. Review mode is the safe checkpoint for automatic or AI-prepared invoices; nothing is emailed until you send it.
  5. Send and track payment status — Send the invoice from its review screen. The invoice shows a sent status after the email provider accepts it, and a Pay this invoice link appears when Stripe is connected. Paid, partially paid, overdue, and past-due activity stay visible in Finance and the customer record.
