How to connect and use QuickBooks Online

Connect your books once, map the right accounts, and sync invoices and payments without duplicates.

Steps

  1. Open Settings → Accounting — From your account menu, open Settings and choose Accounting. Select Connect QuickBooks Online and complete Intuit's secure authorization flow. If you manage more than one QuickBooks company, verify that the company shown is the one you intend to connect.
  2. Review saved account mappings — After connecting, review the saved mappings for income, accounts receivable, deposits, processor fees, tips, refunds, and cost-of-goods accounts. Keep existing saved choices when an account list is temporarily unavailable; only replace a mapping when you intentionally want a different QuickBooks account.
  3. Choose product or category matching — When pushing an invoice, TurfTechAdvisor can match a line to a QuickBooks product/service item or post it through the mapped category. Use the option that matches how you organize your books, and resolve any missing item or category before sending.
  4. Push invoices and review the result — Open Finance → Invoices, select an eligible invoice, and use the QuickBooks action. The sync records the QuickBooks document number and status so resaving the TurfTechAdvisor invoice does not create a duplicate. Stripe payments, refunds, tips, and processing fees can sync to their corresponding QuickBooks entries.
  5. Reconnect or recover a failed sync — If the Accounting card says reconnect, use its reconnect action and finish Intuit authorization before trying again. For a failed invoice, read the specific banner, fix the mapping or QuickBooks issue it names, then use the resync/retry action. Safe retries check existing QuickBooks IDs and document numbers before creating anything new.
